What to Ask a Paper Cup Factory Before You Order
Why the paper cup factory behind an offer matters more than the offer

Two offers for the same cup can look identical on a single sheet of paper and behave completely differently once a container is on the water. The difference almost never sits in the line that quotes a number. It sits in the specification underneath it, and in whether the paper cup factory writing the offer can defend every figure it printed. A buyer who asks for the specification before the number rarely ends up in a dispute afterwards.
This guide is written from the production side. It lists the questions a serious supplier expects, the figures that should come back without hesitation, and the two or three answers that tell you an offer was assembled from a catalogue rather than from a running line.
The specification comes first, the quantity second
Most first enquiries arrive in the form "how much for 100,000 twelve ounce cups". That question cannot be answered honestly, because a 12 oz cup can be built four different ways and each one costs a different amount to make. Board weight, barrier film, rim diameter, case count and printing all move independently.
An offer that arrives instantly against a bare volume figure has assumed all five of them for you. Sometimes the assumptions match what you need. Often they do not, and the mismatch only becomes visible when the lids do not click, the wall goes soft, or the pallet count does not fit the truck you booked.
Paper cup factory checklist: the five figures to confirm in writing
These are the lines that belong in the offer itself, not in a follow-up email after the first complaint. Every one of them is a number, not an adjective.
- Board weight in grams per square metre, per size, not one figure for the whole range.
- Barrier film by type and weight, and on which faces of the board it sits.
- Rim diameter in millimetres, because that is what decides which lid family fits.
- Case count and sleeve packing, because that is what turns cups into pallets.
- Cases per container for the shipping term you intend to use.
Ask for all five at once. A supplier who has to go and look them up is not necessarily wrong, but a supplier who cannot produce them at all is quoting someone else's product.
Board weight and barrier: what the numbers actually mean
Across our own hot cup range the base board runs between 175 and 310 grams per square metre depending on the size, and the inner face carries a 15 gsm polyethylene film. A 4 oz espresso cup at 175 does not need the structure that a 16 oz cup at 310 needs, and quoting a single board weight for a whole range is the clearest sign that the figures were never taken from a production plan.
Cold cups are counted differently. In our catalogue the cold range is recorded with 15 gsm PE across both faces of the board in total, because a chilled cup is attacked by condensation on the outside as much as by the drink on the inside. If an offer for cold cups quotes the same barrier line as the hot range without saying which faces are covered, that is a question worth asking before the order and not after.
These are reference values for the sizes we form rather than a mill certificate for one specific production run, so the right way to use them is as the working range you confirm at quotation stage. Any paper cup factory that refuses to put its own figures in writing at that stage is telling you something useful.

Case count and sleeves: where cups become pallets
Cups are quoted per thousand, shipped per case and stored per pallet, and the three units rarely divide neatly into one another. Our hot cups are sleeved in 100 pieces for the smaller sizes and 50 pieces for the large ones, and the case counts follow the cup rather than a round number: 3,000 for the 6 oz and 7 oz sizes, 2,000 for the 9 oz and 12 oz, 1,000 for the 14 oz and 16 oz. The 8 oz is packed as 1,000 or 2,000 depending on the run.
The carton itself has dimensions, and those dimensions are what actually fill a container. A 7 oz case measures 440 by 370 by 605 millimetres; a 12 oz case measures 415 by 325 by 630. Two sizes that look adjacent on a price list occupy different volumes, which is why a buyer who plans a mixed load needs the case dimensions and not only the case counts.
What a case count tells you about a production line
Case counts are a quiet quality signal. A line that publishes different counts per size is packing to the cup. A paper cup factory that publishes 1,000 for everything is packing to a habit, and the pallets will not stack the way the offer implies. Ask for the case dimension alongside the count and the picture becomes complete.
Minimum order quantity and how a first order is sized
Our minimum order quantity is three pallets, which is sixty cases, and one pallet holds twenty cases. That is deliberately expressed in cases rather than in pieces, because sixty cases of 7 oz and sixty cases of 16 oz are very different numbers of cups: the first is 180,000 pieces, the second is 60,000. A minimum order quantity quoted only in pieces hides the fact that the constraint is physical space, not counting.
For a first order the practical approach is to split those sixty cases across the two or three sizes you actually pour, rather than filling them with one size to reach the threshold. Most cafés discover they need one small hot size, one large hot size and one cold size, and that a fourth size mostly creates storage problems. If you are buying paper cups wholesale for resale rather than for your own counter, the split usually follows what your customers already ask for by name.
Printing: what a six colour flexo line can and cannot do
Paper cups here are printed flexo in up to six colours. That is generous for a logo, a pattern and a brand block, and it is not the same thing as photographic reproduction. Custom printed paper cups work best when the artwork is built for flat colour areas and clean edges rather than for gradients that fade to nothing.
PET cups are a different process: dry offset, one or two colours. A brand that runs both hot and cold ranges should expect its logo to be simplified on the PET side, and it is far cheaper to decide that at artwork stage than after a proof.
The questions worth asking before artwork is prepared are simple. How many colours are included. What file format and resolution are expected. Whether a printed proof is produced before the run, and what happens to the tooling if the design changes next season. None of these are difficult questions, and the answers are a good measure of how a paper cup factory actually runs its printing section.
Container arithmetic and the delivery term
Cups are light and bulky, so a container fills by volume long before it fills by weight, and the useful figure is cases per container rather than tonnes. From our own loading records a 20 foot container takes about 300 cases of 7 oz, 330 cases of 12 oz and 300 cases of 16 oz; a 40 foot high cube takes roughly 730, 800 and 690 cases of the same sizes.
Those figures turn into cups quickly. Three hundred cases of 7 oz at 3,000 per case is 900,000 cups in a single 20 foot container, and that is usually enough to make a buyer rethink whether an air shipment of samples and a slow sea shipment of stock is the better combination.
The delivery term matters as much as the count, and it is the point where a paper cup factory and a freight forwarder stop speaking the same language. EXW, FOB, CIF and DAP move the cost and the risk to different places, and a price that looks lower on one term is not lower once the freight sits where it belongs. Samples: what to test, and what a sample cannot prove
A sample answers questions about the cup. It does not answer questions about the line. Both matter, and buyers routinely test only the first.
What a sample does prove is fit and behaviour: pour water at service temperature, leave it standing for half an hour, press the lid on and tip it. Check that the lid seats without rocking, that the rim keeps its shape, that the print does not smear under a wet hand. A single wall paper cup in 7 oz and a 12 oz cold drink cup are worth testing together, because the second one is the size where condensation problems show up first.
What a sample cannot prove is repeatability. That is why the specification in writing matters: the sample sets the reference, and the specification is what obliges the next hundred cases to match it. Ask whether the pre production sample comes from the same tooling as the run, and what happens if the delivered goods drift from it.
Codes, documents and the boring paperwork that stops a container
Customs classification is not glamorous and it delays more shipments than quality problems do. Paper cups here move under HS heading 4823.69; PET cups under 3924.10 and PET lids under 3923.50. A buyer whose broker has the correct heading before departure avoids a week of storage charges at destination.
Beyond the code, agree early which documents accompany the goods, in whose name, and how the food contact declaration is worded for your own market. Requirements differ by country and it is normal to be asked for wording that a supplier has not produced before. What is not normal is a supplier who cannot say what it can and cannot certify.
Turning the questions into an enquiry that gets a real answer
An enquiry that produces a useful proposal is short and specific, and it is the fastest way to find out whether a paper cup factory is quoting from a line or from a catalogue. Name the sizes, say hot or cold, say whether lids are needed, give the quantity in cases or pallets rather than in vague thousands, and name the delivery country and term. If the cups are to be printed, say how many colours and whether artwork already exists.

Frequently asked questions
I run a small coffee bar and I have never imported anything. What should I actually send in a first enquiry so that I get a usable answer instead of a generic price list?
Name the cup sizes you pour, say whether each one is for hot or cold service, say whether you need lids, give the quantity in cases or pallets rather than in vague thousands, and name the delivery country and the delivery term. If the cups are to be printed, add the number of colours and whether artwork already exists. That is enough for a proposal built on your use rather than on assumptions.
Two suppliers quoted me the same cup at very different prices. How do I tell whether the cheaper one is genuinely cheaper or just a lighter cup?
Compare the specification lines, not the totals. Ask each one for board weight in grams per square metre for that exact size, the barrier film type and weight and which faces it covers, the rim diameter in millimetres and the case count with case dimensions. Differences in price almost always sit in one of those lines, and once they are written down the two offers stop being comparable in the way the price suggested.
Why is a minimum order given in pallets or cases rather than in a number of cups? It makes it hard for me to work out what I am committing to.
Because the constraint is physical space, not counting. A case of small cups holds three thousand pieces and a case of large cups holds a thousand, so the same sixty cases can be one hundred and eighty thousand cups or sixty thousand. Expressing the minimum in cases keeps the pallet and the container honest, and the piece count is easy to work out once the sizes are chosen.
How many cups actually fit in a twenty foot container? I keep being told it depends and I need a working number to plan around.
It depends on the size, but the arithmetic is simple once you have two figures: cases per container and pieces per case. A twenty foot container takes roughly three hundred cases of a 7 oz cup, and at three thousand pieces per case that is about nine hundred thousand cups. Larger sizes fill the same space with fewer pieces, so a mixed load needs the case dimensions as well as the counts.
I want my logo on the cups. What are the real limits of printing on a paper cup and what should I prepare before asking for a proof?
Paper cups are usually printed flexo in up to six colours, which suits flat colour areas, clean edges and solid brand blocks better than photographic gradients. PET cups are printed dry offset in one or two colours, so a logo that runs on both ranges should be simplified for the plastic side. Prepare vector artwork, decide the colour count, and ask whether a printed proof is produced before the run.
How do I judge a sample properly? Filling it with water seems too simple to be a real test.
Fill it at the temperature you will actually serve, leave it standing for half an hour on a paper towel, then press a lid on and tip it. Check the seam and the base for weeping, check that the lid seats without rocking, and check that print does not smear under a wet hand. A sample proves fit and behaviour; it cannot prove repeatability, which is why the written specification has to accompany it.
