Adding cups to a wholesale range: where to start

A paper cup distributor almost never gets into trouble over the product itself. Single-use cups are a settled item; the paper, the coating and the forming have been the same for years. What goes wrong sits earlier, in the decisions made before a single carton is booked: how many formats to carry, which rim diameters to commit stock to, how many cartons make a pallet, and which delivery term leaves the freight in the hands of the party that can actually manage it.

This guide is written for that first commitment. It assumes the reader is a paper cup distributor in the making: a wholesaler adding disposables to an existing food-service range, an importer filling a container for the first time, or a regional supplier who has been buying locally and now wants to buy at source. Every dimension, carton figure and loading number quoted below comes from the production specification of the range we run, not from a catalogue round-up.

Start from the rim, not from the volume

The instinct is to build a range around volumes: a small, a medium, a large. That is how the menu reads, but it is not how the stock behaves. The number that decides whether two products can share a lid, a holder, a dispenser or a vending column is the diameter across the rim, and across a hot range it moves independently of the volume.

  • 62 mm rim — 4 oz, 100 ml, 62 mm tall, 45.5 mm base, 2.60 g per cup.
  • 70 mm rim — 6 oz at 150 ml and 7.5 oz at 190 ml; same rim, 10 mm difference in height.
  • 72 mm rim — 7 oz, 180 ml, 81 mm tall, 52 mm base, 4.80 g.
  • 80 mm rim — 8 oz at 240 ml, 9 oz at 250 ml, 12 oz at 350 ml.
  • 90 mm rim — 14 oz at 400 ml and 16 oz at 500 ml.

Read that list as a stock list and the range shrinks by itself. The 8 oz, 9 oz and 12 oz all take an 80 mm lid; the 14 oz and 16 oz share a 90 mm lid. On the paper lid side that means two references cover five cup formats. PET lids run on a single 95 mm diameter, which is why the cold PET line behaves as one lid family rather than several. The 6 oz and the 7.5 oz look like different products on a price list and are the same lid on a shelf.

Volume is what your customer orders. Rim diameter is what a paper cup distributor has to warehouse. A range built on rims carries fewer lid references, fewer part-empty cases and fewer arguments about why a lid that arrived last month no longer fits.

A paper cup distributor range that covers most accounts

Four hot formats will serve the large majority of cafe, office and catering accounts: a 7 oz for filter coffee and tea, an 8 oz for the standard espresso-based cup, a 12 oz for the long drink and a 16 oz for iced and large formats. That set spans 180 ml to 500 ml and uses exactly two lid diameters, 72 mm on its own for the 7 oz and 80 mm and 90 mm across the rest. Add the 4 oz only if you sell espresso accounts, and the 6 oz vending format only if you supply machine operators, where the 70 mm rim and 79 mm height are a mechanical requirement rather than a preference.

The temptation is to stock everything so that no enquiry is ever refused. In practice a range of nine formats means nine part-used pallets and a lid inventory that no one can count. Narrow first; widen when an account asks twice.

Case counts are not constant, and that is where the money moves

The single figure that surprises first-time buyers is the carton quantity. It is not a fixed number across a range, and it does not fall neatly with volume. A carton of our 4 oz, 6 oz, 7 oz and 7.5 oz holds 3,000 cups. A carton of 8 oz or 12 oz holds 2,000. The 9 oz, 14 oz and 16 oz go 1,000 to the carton.

  • 4 oz single wall — 3,000 per carton, 10.25 kg gross, carton 400 x 320 x 615 mm.
  • 6 oz single wall — 3,000 per carton, 13.00 kg, carton 425 x 355 x 640 mm.
  • 8 oz single wall — 2,000 per carton, 15.50 kg, carton 415 x 325 x 675 mm.
  • 12 oz single wall — 2,000 per carton, 14.50 kg, carton 415 x 325 x 630 mm.
  • 16 oz single wall — 1,000 per carton, 12.40 kg, carton 405 x 405 x 560 mm.
  • 16 oz double wall — 260 per carton, 5.50 kg, same carton footprint.

Compare the last two lines and the double wall question answers itself commercially. The cup volume is identical at 500 ml, but the carton holds 260 instead of 1,000. Four cartons of double wall occupy the space of one carton of single wall while delivering roughly a quarter of the units. The same pattern runs through the range: the double wall 8 oz packs 500 to the carton against 2,000, and the double wall 14 oz packs 500 against 1,000. Double wall is the right product wherever a cup is held for a long time without a sleeve, and it is an expensive way to ship air anywhere else. A paper cup distributor who prices double wall on the cup alone, and not on the carton it travels in, will be surprised by the freight line.

Carton quantity also fixes the smallest sensible re-order. A customer who wants 500 cups of a 3,000-count format is asking for a broken carton, and broken cartons are where pilferage, damage and stock error live. Build your price list in carton multiples from the start.

Cartons, pallets and the quantity that starts production

One pallet takes 20 cartons. That single constant converts every carton quantity into a pallet quantity without further arithmetic: a pallet of a 3,000-count format is 60,000 cups, a pallet of a 2,000-count format is 40,000 cups, and a pallet of a 1,000-count format is 20,000. Our minimum order is 3 pallets, that is 60 cartons, and it is counted in pallets rather than in units precisely because the pallet is what the loading plan is built from.

Three pallets of a 3,000-count cup is 180,000 units; three pallets of a 1,000-count cup is 60,000. A paper cup distributor reading a minimum order in units alone will misjudge it by a factor of three. The minimum therefore feels very different depending on the format, which is why it is worth planning the first order across two or three formats rather than concentrating it in one. On a partial load collected from the factory by your own vehicle or appointed forwarder, one or two pallets are also possible; the unit price rises as the pallet count drops, because the fixed costs of a production run do not.

PET items sit on a different footing. PET cold cups and PET lids carry a minimum of one full truck, and their lead time is longer than the paper line because they are supplied rather than formed on our own cup machines. Plan PET into a separate shipment rather than as a tail on a paper order.

What actually fits in a container

Cups are volumetric cargo. A container fills long before it reaches its weight limit, so the number that matters is cartons per container, not tonnes. On the 8 oz, a 20 ft container takes 310 cartons and a 40 ft high cube takes 750. On the 12 oz it is 330 and 800. On the 16 oz, 310 and 750. On the 6 oz, 300 and 710, and on the 4 oz, 350 and 900.

Multiply those by the carton quantity and the picture becomes concrete. A 20 ft container of 8 oz cups is 620,000 units. A 40 ft high cube of the same format is 1,500,000. A 20 ft of 6 oz is 900,000 cups, and a 40 ft high cube of 4 oz reaches 2,700,000. Those are the volumes a paper cup distributor is committing to when a full container is booked, and they are the reason most first orders are mixed loads across several formats rather than a single reference.

Gross weights tell the other half of the story. A 20 ft of 8 oz at 15.50 kg per carton is a little over 4.8 tonnes across 310 cartons, comfortably inside the payload. Paper cup packaging is designed around stack strength and cube, not mass, which is why carton dimensions such as 415 x 325 x 675 mm matter more to a loading plan than the kilos on the label. Paper cup stacking height inside the carton is what sets those dimensions, and it is also what keeps the cups round in transit.

Delivery terms: fca vs exw, and who books the truck

Incoterms are not a menu a paper cup distributor picks from freely; the right term follows the shape of the load. Our standard is FCA Istanbul: your carrier arrives and we load at the plant. On a partial load the practical term is EXW, because consolidation happens at your forwarder rather than here. On a full truck DAP is possible, and for sea shipments FOB or CIF can be organised.

The fca vs exw question is really a question about who is best placed to manage the first leg. If you have a forwarder who already consolidates out of Istanbul, EXW puts the load in their hands from the gate. If you do not, FCA means loading is our responsibility and the handover happens on the vehicle. Neither is inherently cheaper; they move the same cost to different sides of the invoice, and the difference shows up in who absorbs a delay at the gate.

Payment runs alongside and is the same for every paper cup distributor we work with: 50 percent with the order, which is what releases production, and 50 percent before loading, by bank transfer. There are no deferred terms and no letters of credit. Knowing that in advance shortens the negotiation considerably, because it removes the two questions that usually take a week of correspondence.

What a paper cup distributor should send with the first request

A request that carries four things comes back as a firm offer rather than as another question. List the formats in millilitres with the rim diameter you want, state whether each is single or double wall, give the quantity in cartons or pallets, and name the delivery country and the port or city of destination. If the cups are to be printed, add the number of colours and say whether artwork is ready.

It also helps to say what the stock is for. A range aimed at office accounts leans on the 7 oz and 8 oz; bulk coffee cups for an events supplier lean on the 12 oz and 16 oz; a machine operator needs the vending format and nothing else. The specification, the carton data and the loading figures then come back in one document instead of three emails.

Frequently asked questions

I already sell food packaging and want to add disposable cups, but I have no idea how many sizes I should actually carry at the start.

Four hot formats cover most accounts: roughly 180 ml, 240 ml, 350 ml and 500 ml. That span needs only two or three lid diameters, which keeps the lid inventory small. Widen the range only when an account asks for a format twice; every extra reference adds a part-used pallet to the warehouse.

My supplier quotes per thousand cups but the cartons arrive with different quantities in them. Is there a standard carton count for paper cups?

There is no industry standard. Carton quantity depends on the cup diameter and the wall construction, and it can range from a few hundred to three thousand in the same range. Small single-wall cups typically pack 3,000 to a carton, mid sizes 2,000, larger sizes 1,000, and double-wall versions far fewer because of the outer shell. Always ask for the carton quantity per item code, not per range.

How do I work out how many cups will fit in a container before I commit to an order?

Ask for cartons per container rather than units, because cups are volumetric cargo and the box fills long before the weight limit. Then multiply cartons by the carton quantity for that specific format. A mid-size cup packing 2,000 to the carton at around 310 cartons in a 20 ft container gives roughly 620,000 units, and a 40 ft high cube roughly doubles that.

Is double wall worth stocking, or is it just a more expensive version of the same cup?

It is a different logistics item, not just a different price. A double-wall cup of the same volume packs a fraction of the units per carton because of the outer shell, so freight and storage per thousand rise sharply. It earns its place where a hot cup is held for a long time without a sleeve or holder; where a holder is already in use, single wall usually makes more commercial sense.

What is the practical difference between EXW and FCA when I am buying cups from a factory abroad?

Under EXW the goods are made available at the plant and everything from that point is yours to arrange, which suits a partial load being consolidated by your own forwarder. Under FCA the seller loads the vehicle you send, and the handover happens on that vehicle. The cost does not disappear in either case; it moves to a different side of the invoice, and so does the responsibility for a delay at the gate.

The factory talks about pallets rather than cartons. How do I convert their minimum order into a number of cups?

Ask two questions: how many cartons go on a pallet, and how many cups are in a carton of the specific format. Twenty cartons to a pallet is common. With that figure, a pallet of a 3,000-count cup is 60,000 units and a pallet of a 1,000-count cup is 20,000, so the same pallet minimum means very different unit quantities depending on which format you choose.
